Co-Worker Hire Agreement
General Conditions:
- Use of premises - You should not use the premises for any purpose other than that described in the booking form and shall not sub-hire or use the premises or allow the premises to be used for any unlawful or unsuitable purpose or in any unlawful way nor do anything or bring onto the premises anything which may endanger the same or render invalid any insurance policies.
- Security: You are responsible for securing intoBodmin premises upon leaving (when working outside of opening hours), preventing unauthorised entry, and for any damage caused. In no circumstances should the building be left unlocked or unattended.
- Property damage: No nails, hooks, sticky tape or paste, nor anything else which might mark the decoration, structure, or furnishings of the Premises may be used. Any damage to the property, furniture, furnishings, and decoration, is to be assessed by the Director, whose decision shall be final. The cost of making good such damage shall be paid by you.
- Room etiquette: Please leave the space as you found it.
- Insurance: You are responsible for arranging any necessary insurance for their equipment used on site.
- Gaming, betting and lotteries: You shall ensure that nothing is done on or in relation to the premises in contravention of the law relating to gaming, betting and lotteries.
- Smoking: intoBodmin CIC operates a No Smoking policy on the premises.
- Electrical appliance safety: You shall ensure that any electrical appliances brought by them to the premises and used there shall be safe, in good working order, and used in a safe manner in accordance with the Electricity at Work Regulations 1989. You will ensure that all portable electrical appliances brought into the building for use have a current PAT certificate.
- Accidents and dangerous occurrences: Any failure of equipment belonging to intoBodmin CIC must also be reported as soon as possible. You must report all accidents or near misses to a member of intoBodmin’s staff as soon as possible and complete the relevant section in the accident book.
- Noise: Please ensure that minimum noise is made on arrival and departure, particularly late at night and early in the morning.
- Property damage: intoBodmin CIC cannot accept liability for any loss of or damage to property brought into or left in the Old Library in connection with any hiring.
- Payment Method: Payment for your co-working membership will be processed via a recurring monthly invoice. You will receive this invoice via email, and it will include a "Pay Now" link for your convenience. Your co-working membership fees will be invoiced monthly, starting from the first full day you use the co-working office. Subsequent invoices will be sent on the same day each month.
- Payment Due Date: Each invoice will specify the due date for payment. We kindly request that payment be made by this date to ensure uninterrupted access to our co-working facilities.
- Late Payments: A late payment fee may be applied to invoices not settled by the due date. This fee will be outlined in your invoice.
- Updating Payment Information: If there are any changes to your payment details or billing preferences, please notify us promptly to ensure accurate invoicing.
- Refunds: Refunds for co-working membership fees are not typically provided. However, exceptions may be considered on a case-by-case basis.
- Invoice Disputes: If you have any questions or concerns regarding your invoice, please contact our billing department as soon as possible to address any discrepancies or resolve any issues.
- Membership Cancellation - Cancellation Policy: Should you wish to cancel your co-working membership, please provide us with at least one month's notice before your next billing cycle to avoid being charged for the subsequent month.
- Charges: intoBodmin CIC reserves the right to amend the charges and these conditions at any time.
- Guests – Co-working members are more than welcome to bring guests and business associates into the Café at The old Library. (Please do not arrange meetings in the Co-working space).

Co-worker Access:
- You will be issued with your own Access Card which will provide access to the front door and the co-working space.
- The Access Card is the responsibility of you. If lost, the cost of replacement will fall to you. The card may not be loaned to any third party.
- Your access card must be returned to intoBodmin at the end of your membership.
Co-worker locking Up Procedure
- If you are the last to leave the co-working space please ensure that all windows are closed.
- Ensure that any portable equipment you use is switched off.
- Wash up any mugs or cups that you’ve used and take with you any food or drink items you have placed in the fridge.
- Please turn off all the co-working and hallway lights – some of the hallway lights are linked to a sensor and may not switch off immediately/ until you have left.
- Please close the co-working door on leaving.
- Please exit through the front and make sure it’s pulled shut and the magnet lock is engaged.
Out of hours Fire Procedure – when there is no staff member present please follow the fire marshal procedure below
The Fire Service needs to be called to any outbreak of fire, however slight, and the Co Directors of intobodmin CIC shall be contacted. (See mobile numbers above for Fin or Tash)
You understand the following matters;
- The action to be taken in event of fire. This includes calling the Fire Brigade and evacuating The Old Library.
- The location and use of fire equipment – available at specific points throughout the building
- The location of the fire alarm panel and break points – next to the front door.
- The fire alarm instructions – attached to the fire alarm panel.
- Escape routes and the need to keep them clear – front and rear door.
- Method of operation of escape door fastenings.
- Appreciation of the importance of any fire doors and of closing all fire doors at the time of a fire.
First Aid
- Location of the first aid box – in middle cupboard of kitchenette, first floor.
Fire Evacuation Procedure (During opening hours)
On discovering a fire (no matter how small), smelling smoke or suspecting a fire:
Raise the alarm by operating the nearest fire alarm call point. These are located in the first floor landing area, the front and rear exit.
The fire alarm is tested every Thursday afternoon at 4.30pm and sounds for approximately 15 - 20 seconds.
If the fire alarm continues or is sounded at any other time you are required to take the following actions:
On hearing the alarm:
Leave the building via the nearest fire exit.
Do not stop to collect any personal belongings.
If ft is safe to do so, close any doors as you make you way out of the building.
Call 999. The Old Library is located at 10 Lower Bore Street, Bodmin, PL31 2JX.
Go to and remain at the assembly point located in on the other side of the road outside the tattoo shop until otherwise instructed by a Fire Marshall or the Fire Service.
Do not return to the building until a Fire Marshall or the Fire Service has confirmed that it is safe to do so.
